Navigating Session Files

Studio Administrators, Supervisors and Therapists can view all uploaded sessions and access session details. Therapists can only view their own session files.
To get to the Session Files screen click on Session Files in the left navigation menu.
Finding a Session
Applying a Filter
You can filter the Session Files by clicking the Filters option at the top of the grid. From the screen that appears you can filter by any metadata provided with the session. Note that Therapists can still only view their own sessions.
Once you've entered the metadata you want to filter by you can click Apply Filters.
Removing a Filter
You can remove an applied filter by clicking the x next to the applied filter or clicking Clear Search Filters at the top of the Session Files grid.
Reducing Number of Visible Columns
You can show and hide columns on the Session Files grid by clicking the Columns option. You can then enable or disable any columns you want shown or hidden.
Viewing a Session
To view session details click the View Icon (eye) in the left column of the desired session.
Updating Session Metadata
Studio Administrators, Sponsors, Supervisors , and Therapists can update metadata on sessions. Therapists can only update their own session files.
To update metadata click the Update Icon (pencil) in the left column of the desired session.

Metadata Overview
What is Metadata?
Metadata is the descriptive information attached to each uploaded recording. It provides essential context — such as date, therapist ID, and session ID — that enables accurate analytics, reporting, and data roll-up.
Why Metadata Matters
Accurate metadata ensures your data can be analyzed and tracked. Incomplete or inconsistent entries can cause errors in data roll-up, prevent accurate reporting, and limit your organization’s ability to identify trends or provide feedback.
Best Practices for Metadata Entry
Following consistent metadata standards ensures your sessions are searchable, analyzable, and correctly linked across settings. Small inconsistencies can create data tracking issues.
1. Maintain Consistent Naming
Use a clear and predictable structure when entering IDs or recording names.
If your organization does not use session types, use a simple sequential system (e.g., visit1, visit2).
Be consistent — even small differences like “mpathic-360” vs. “mpathic360” or “002003” vs. “002-003” will register as different entities in analytics.
2. Keep IDs Unique and Stable
Participant IDs and Therapist IDs should be unique and consistent across all sessions.
Confirm your team’s standard ID convention before uploading.
3. Avoid Special Characters
Use letters, numbers, and underscores only (_).
Do not include spaces or symbols (e.g., #, /, &, -).
4. Double-Check Required Fields
Files with missing required metadata (such as trial, site, participant, or therapist ID) will not upload successfully. Always verify each required field before saving.
Make your changes:
Required fields (*) – Must always contain a value; they cannot be left blank.
Optional fields – May be left blank if not applicable.
Tip: For consistency, update all fields together when possible.
Click Save.
A green confirmation message will appear: “Metadata updated successfully.”
The modal will close, and you’ll return to Session Files. The updated session will appear at the top of the list.
