Upload a Session File

The Session File Upload feature lets you add recordings for analysis and review. Correct uploads ensure your recordings appear on the dashboard and are included in metrics.
Before You Begin
Confirm Permissions
If you do not see Add Session File in the left menu, contact your Administrator.
Check File Requirements
Accepted formats:
.wav,.mp3,.mov,.mp4,.m4aMaximum size: 4.5 GB
File naming rules:
Letters
Numbers
Dashes (
-) or underscores (_) only
Missing permissions or invalid file formats will prevent uploads.
Ensure all required metadata (e.g., Participant ID, Therapist ID) is complete and accurate. Incorrect metadata may prevent your file from appearing on the dashboard.

Incorrect metadata (IDs, site names, session types) → recordings may not appear in reports
Incomplete/bad quality recordings → delayed processing or reduced accuracy

Metadata Overview
What is Metadata?
Metadata is the descriptive information attached to each uploaded recording. It provides essential context — such as date, therapist ID, and session ID — that enables accurate analytics, reporting, and data roll-up.
Why Metadata Matters
Accurate metadata ensures your data can be analyzed and tracked. Incomplete or inconsistent entries can cause errors in data roll-up, prevent accurate reporting, and limit your organization’s ability to identify trends or provide feedback.
Best Practices for Metadata Entry
Following consistent metadata standards ensures your sessions are searchable, analyzable, and correctly linked across settings. Small inconsistencies can create data tracking issues.
1. Maintain Consistent Naming
Use a clear and predictable structure when entering IDs or recording names.
If your organization does not use session types, use a simple sequential system (e.g., visit1, visit2).
Be consistent — even small differences like “mpathic-360” vs. “mpathic360” or “002003” vs. “002-003” will register as different entities in analytics.
2. Keep IDs Unique and Stable
Participant IDs and Therapist IDs should be unique and consistent across all sessions.
Confirm your team’s standard ID convention before uploading.
3. Avoid Special Characters
Use letters, numbers, and underscores only (_).
Do not include spaces or symbols (e.g., #, /, &, -).
4. Double-Check Required Fields
Files with missing required metadata (such as trial, site, participant, or therapist ID) will not upload successfully. Always verify each required field before saving.
1. Go to Add Session File
After logging in, click Add Session File on the left
2. Select and Upload a File
Click the upload box
Supported file types: .wav, .mp3, .mov, .mp4, .m4a
Maximum file size: 4.5 GB
3. Enter File Details
Fill in all required metadata fields (marked with
*)Use only letters, numbers, dashes (
-), or underscores (_)Ensure Participant ID and Therapist ID match your study format
4. Save and Confirm
Click Save and Next
Review and accept the consent statement
You will get a success message in the bottom right of the screen that will say "File uploaded successfully."
5. Verify Your Upload (Only applicable if you also have access to View Session Files)
Go to Session Files in the left menu
Confirm your file shows Processing
Once complete, the session will appear on your dashboard
